Introduction

The Fleet Auction Group are committed to protecting and respecting your privacy. We understand that your information is important and in the wrong hands, it poses a risk to your rights and freedoms. In order to help you protect your information this notice will explain what information we collect, why we collect it, what we do with it, how long we keep it for, who can access it and what your rights are.

What we do with your data

Handling enquiries – When you make an enquiry you will be asked for your consent for us to hold the following information in order to handle the enquiry;

  • Name
  • Company
  • Contact details (email, phone number)

The information you provide will be passed to an appropriate member of staff, so that they can contact you with an answer.  Once handled, we will generally retain our information for a period of 7 years to handle any follow-up questions.

Free valuation service – In order to provide you with a free valuation we will require the following information;

  • Name
  • Telephone number
  • Email address
  • Vehicle details (registration number, make, model, mileage, condition etc.)

This information will be entered into our valuation software and will be reviewed by an auctioneer in order to provide you with the requested valuation. Your data will be stored for a period of 6 months.

Registering for a trade account – In order to open a trade account we require the following information;

  • Name
  • Names of directors/partners
  • Company
  • Valid VAT Number
  • Contact details
  • Phone numbers
  • Email address
  • Address
  • Company Number
  • Signature

This information will be stored in our auction system and will be referred to when you purchase or sell a vehicle through us. Where you indicated you would like to be contacted, you will be added to the appropriate marketing list and sent a catalogue for the types auctions you have requested. Your data will be removed from our system once your account has been closed after a period of 3 years, with the exception of financial transactions, which by law we must hold for a period of 7 years.

Live bidding services – When using our live bidding system we must collect the following information in order to provide the service;

  • Username
  • Email Address
  • IP address
  • Any messages sent to the auctioneer
  • Browser information

These details will be stored in the Livebid system when your Livebid account is created and when you login into and use the service. Your data will be removed from our system once your account has been close after a period of 5 years

The efficient and secure running of the website – In order for our site to work correctly we need to use some cookies (more information about this can be found in the cookies section). These cookies are anonymous and are only used for the security of the website. They will expire a year after your last visit.

How will it affect you

Providing us with inaccurate or incomplete information could in result in any of the following:

  • Your enquiry not being answered
  • Your vehicle valuation being incorrect
  • Your trade account application being refused

Who can see it

In order to provide our website, Livebid and MyFLAG service, we use hosting provided by Microsoft Azure.  Development and support of these is handled by Kingfisher-systems and as such, data you enter into these services may be visible to these companies. Both these parties are contractually bound to only use your data as we instruct.

We will never sell or share your data with another organisation unless you have consented, or there is a legal obligation for us to do so.

How we protect it

All data you provide is kept secure and any staff or contractors that handle this data have a commitment and the necessary training to keep it private and secure. We have a number of policies and procedures in place to ensure that data is handled correctly, kept secure, and have implemented the necessary technical and organisational controls to support these.

What are your rights
